Receptionist
Summary
The Receptionist / Admin Assistant is the primary contact with clients and other callers and visitors, always providing superior customer service in a friendly and professional manner. This position also holds primary responsibility for filling and organizing the filing system.
Responsibilities
- Take the lead on answering incoming phone calls, on first ring whenever possible.
- Make appointments and enter on calendar.
- If possible, assist or redirect callers when attorneys or other staff members are not available.
- Use instant messaging to communicate phone messages to attorneys and other staff members.
- Greet and take care of clients and other visitors in the front office.
- Follow up with attorneys to ensure they know clients are waiting and take other action as necessary to provide excellent customer service.
- Ensure the front office and conference rooms are clean, tidy, and welcoming.
- Organize filing system, ensuring that all files and papers are properly located in filing cabinets or designated places in a timely manner.
- Organize and orders office supplies as needed.
- Support attorneys in their focus on billable work and by working without supervision, taking initiative, and keeping interruptions to a minimum.
- Follow all published procedures related to the above responsibilities.
- Perform other duties as requested.
Education/Experience
- High school education required; college preferred.
- Proven success in a customer – focused position; law firm experience preferred.
